Privacy Policy

This policy explains what personal data Promedia Group SRL collects through promediagroup.be, why we collect it, and the rights you have over it. We keep data collection to the minimum: this site has no advertising trackers and no profiling.

1. Who is responsible for your data

2. What data we collect

We only collect personal data in two situations:

  • When you use the contact form.We collect the name, email address, phone number (optional) and message you type in. We also record the time of the submission, your IP address and your browser’s user-agent string — these are used to prevent spam and abuse of the form.
  • When you allow analytics cookies. If you accept analytics in the cookie banner, we collect anonymous usage data (which pages are visited, roughly from where, on what device). This data is aggregated and does not identify you. If you decline, none of this is collected.

We do not run advertising trackers, we do not build profiles, and we do not collect any special categories of data.

3. How we use your data

  • Contact form data is used only to read and reply to your message.
  • The time, IP address and user-agent attached to a submission are used only to rate-limit the form and filter out spam.
  • Analytics data (if you consent) is used only to understand which pages are useful so we can improve the site.
  • Contact form: processing is based on your consent, given when you submit the form, and on our legitimate interest in responding to enquiries and keeping the form free of abuse.
  • Analytics: processing is based on your consent, given through the cookie banner. You can withdraw it at any time.

5. Who we share your data with

We do not sell your data and we do not share it for marketing. We use a small number of service providers (“processors”) who handle data on our behalf, under contract:

  • Vercel Inc.— hosts the website and runs the contact form’s server-side code.
  • Supabase — the database where contact form submissions are stored (hosted in the EU, Frankfurt region).
  • Cloudflare — provides the Turnstile anti-spam check on the contact form.
  • Vercel Analytics — provides the anonymous, cookieless usage statistics, only if you consent.

6. How long we keep your data

Contact form submissions are kept for as long as needed to handle your enquiry and any follow-up, and are then deleted on request. You can ask us to delete your message at any time (see “Your rights” below). Anonymous analytics data is retained by Vercel Analytics on a rolling basis and is not linked to you.

7. Where your data is stored

Contact form submissions are stored in a Supabase database hosted in the European Union. The website itself is served by Vercel’s global network. Where any provider processes data outside the EU, that processing is covered by the appropriate safeguards (such as the EU Standard Contractual Clauses).

8. Your rights

Under the GDPR, you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data deleted;
  • receive your data in a portable format;
  • object to or restrict our use of your data;
  • withdraw consent at any time.

To exercise any of these rights, email account@promediagroup.be. You also have the right to lodge a complaint with the Belgian Data Protection Authority (Autorité de protection des données / Gegevensbeschermingsautoriteit).
